Position Summary

The Documentation Control Specialist is responsible for managing, maintaining, and coordinating controlled documentation throughout the manufacturing and delivery lifecycle of aerospace products. This role ensures compliance with customer, regulatory, and contractual requirements by overseeing document accuracy, configuration control, DD250 processing, and communication between Headquarters, third-party manufacturers, quality teams, and customers. While the role is remote, the person must live in the Camden, AR area or Cincinnati/Cleveland, OH areas.

Key Responsibilities

  • Manage and maintain controlled documentation for aerospace manufacturing programs in accordance with company quality standards and customer requirements.
  • Prepare, review, and process DD Form 250 (Material Inspection and Receiving Report) documentation to support government and defense contract deliveries.
  • Coordinate documentation requirements between Headquarters, production facilities, third-party manufacturing partners, quality assurance, engineering, and logistics teams.
  • Verify documentation packages for completeness, accuracy, and compliance prior to product shipment.
  • Maintain document revision control and configuration management throughout the product lifecycle.
  • Build, organize, and maintain manufacturing records, Certificates of Conformance (CoC), inspection reports, First Article Inspection (FAI) documentation, test reports, and shipping documentation.
  • Generate reports and documentation packages to support onsite product demonstrations, customer reviews, acceptance testing, and sales presentations.
  • Track production milestones and ensure documentation aligns with manufacturing schedules and customer delivery dates.
  • Collaborate with supply chain and manufacturing partners to obtain required quality and compliance documentation.
  • Support internal and external audits by maintaining accurate documentation records and retrieval systems.
  • Ensure compliance with AS9100, ISO 9001, government contracting requirements, and customer-specific documentation standards.
  • Maintain electronic document management systems (EDMS), ensuring secure storage, version control, and traceability of records.
  • Identify documentation discrepancies and coordinate corrective actions with cross-functional teams.
  • Prepare executive and operational reports detailing production status, documentation completion, shipment readiness, and contract deliverables.

Required Qualifications

  • Associate's or Bachelor's degree in Business Administration, Engineering Technology, Supply Chain, or a related field, or equivalent experience.
  • 3+ years of documentation control experience in aerospace, defense, manufacturing, or a regulated industry.
  • Experience processing DD250 documentation and government contract deliverables.
  • Knowledge of AS9100, ISO 9001, and configuration management principles.
  • Experience coordinating with multiple departments and third-party manufacturing organizations.
  • Proficiency with Microsoft Office Suite, especially Excel, Word, and PowerPoint.
  • Experience using ERP, MRP, PLM, or electronic document management systems.
  • Strong organizational, analytical, and communication skills.
  • Ability to manage multiple priorities while meeting strict deadlines.

Preferred Qualifications

  • Experience supporting Department of Defense (DoD) contracts.
  • Familiarity with Government Wide Area Workflow (WAWF) or PIEE systems.
  • Knowledge of quality assurance documentation, First Article Inspection (FAI), and Certificates of Conformance.
  • Experience preparing customer-facing reports and executive-level documentation.

Pay range for this role

$68,500 - $93,000 USD
